Software for inbound tour agencies: what to compare before signing and how to leave the spreadsheet

By Igor Costa · October 26, 2026 · 7 min read

The right software for an inbound tour agency brings the channels into the same departure and closes the boarding list without retyping. It also collects the deposit by Pix and issues the voucher with QR. List prices in Brazil range from R$ 0 to R$ 379 a month. Before signing, test it with a real departure and confirm that your data leaves with you.

What does software for an inbound tour agency need to do?

It needs to take a booking from any channel all the way to boarding and the cash register. If one part is left out, someone builds the list by hand the day before, and the seat sold at the hotel disappears from the count.

Use this list in the demo. Ask to see each item with one of your tours, not with the vendor's sample tour.

Function Why it matters How to test it in the demo
Departures with capacity Each tour has a time, seats and a resource Create the 9:00 AM departure with 34 seats and sell 2
Booking with a deposit The deposit holds the seat and reduces drop-offs Book without paying and see whether the seat goes back on sale in time
Payment to the CNPJ The tourist sees who they are paying Make a test Pix and check the name on the receipt
Voucher with QR The guide checks at boarding without paper Scan the QR with the guide's phone
Boarding list Name, ID, meeting point and restrictions Generate the day-before list with bookings from three channels
Bookings from every channel WhatsApp, website, hotel, counter and OTA on the same capacity Enter one booking from the hotel and one from the OTA
Guide and vehicle scheduling Guide, boat and van with no time clash Schedule the same guide on two departures and look for the alert
Partner commission The hotel knows how much it will get Close the month for a partner hotel
Bulk rescheduling Weather changes the whole departure Reschedule the departure and see where each passenger's reply is stored
Finance and invoicing Bank reconciliation and an NFS-e for each sale Reconcile a real statement and issue a test invoice
Role-based access The guide doesn't need to see everyone's ID Log in as the guide and see what shows up

The boarding list and bookings from every channel are the functions that save the most work. They are what end the day-before assembly.

How much does inbound tour software cost in Brazil?

List prices range from R$ 0 to R$ 379 a month on the pages accessed on October 25 and 26, 2026. Some also charge per Pix or per booking, and almost all have onboarding or modules sold separately.

System What the page shows List price
mymento Website and bookings for inbound agencies. The table lists payment deposit, QR check-in, bulk rescheduling, participant list and commissions. API and webhooks on Enterprise R$ 99 and R$ 199 a month, with an annual discount. Enterprise on request
Paytour Store and bookings for tours, deposit payment, check-in app. Sales partners and API on Premium From R$ 0 to R$ 379 a month. Pix from R$ 3.79 to R$ 4.90 per transaction, depending on the plan
Tindo Tour and transfer bookings, rooming list, PDF voucher. Finance and driver work orders on the Gestão plan From R$ 71.92 to R$ 159.20 a month. Onboarding, WhatsApp bot and integrated Pix sold separately
Bókun Bookings and distribution to OTAs, with Booking API and webhooks Paid plans from US$ 49 to US$ 499 a month, plus 1% to 1.5% per booking, no fee on Viator and offline bookings. Free plan only with Viator

Prices change. Ask for a quote with each item listed separately:

In the agency's numbers, the license tends to weigh less than the channel commission. The math is in how much tour OTAs keep from each sale.

What does the demo usually not show?

The demo shows the happy-path sale. Ask about the cases that cause trouble in high season.

  1. Does a seat without a deposit go back on sale on its own? Or does it stay held until someone remembers?
  2. Does the OTA booking come in without retyping? If not, who enters it, and when?
  3. Does bulk rescheduling record each passenger's choice? Or does it only send the message?
  4. Does anyone who hasn't replied become a task? Or do they get lost in WhatsApp?
  5. Does the cancellation follow the rule the tourist accepted? Is the rule stored with the sale?
  6. Is the hotel commission calculated per booking that boarded? Or on the total sold in the month?
  7. Does your data leave with you? Ask for an export of bookings, customers and sales before signing.

Item 5 prevents a common dispute in the sector. To set up the rule, see what to do when a tour is canceled due to bad weather.

A complete system or integrating what you already have?

It depends on what already works. If the website sells well and the gateway collects without issues, keep both and replace the management behind them. If everything runs on WhatsApp and spreadsheets, a complete system is the shortest path.

To integrate, the system needs an API, the door through which another system reads and writes bookings. In this market, the API is usually on the top-tier plans. From the pages accessed, mymento offers an API on Enterprise, Paytour on Premium, and Bókun has a Booking API and webhooks.

A webhook is the notice one system sends to another when something changes, such as a new booking. With it, the OTA booking reaches the departure's capacity without waiting for someone to export a file.

One rule applies to any choice: the agency must be registered with the Ministry of Tourism. Under the General Tourism Law, tourism service providers must have Cadastur (art. 22), including when advertising online (§ 6). Put the number on the website, the voucher and the payment link.

How do I leave the spreadsheet without losing bookings?

Set up the operation first, enter the future bookings and only then switch sales over. Step by step:

  1. Set up the tours with duration, meeting point, what to bring, minimum age and cancellation rule.
  2. Set up the resources: boats and vans with capacity, guides with languages.
  3. Create the departures for the next 60 days, with time and resource.
  4. Enter the future bookings with passengers, channel, deposit paid and balance due.
  5. Check seat by seat against the spreadsheet. A capacity that doesn't match has a booking missing.
  6. Set up the partners with each one's commission.
  7. Bring over customer contacts with their LGPD legal basis. Record who agreed to receive messages.
  8. Run in parallel for a week and switch over on a slow departure.

A common mistake is the partner hotel booking. It arrives by message, stays out of the spreadsheet and shows up at boarding. During the parallel week, ask each hotel for the list of what it sold.

How CERNE solves it

CERNE comes in one of two ways, depending on what the agency already has.

Day to day:

Onboarding goes in stages: departures and deposits first, then boarding and contract, finance and partners, and finally rescheduling and scheduling. The package is being built with Porto Nativo Turismo, an inbound agency in Porto Seguro. See the stages on the tours and tourism page.

Frequently asked questions

What is the best software for an inbound tour agency?
The one that brings all your channels into the same departure and closes the boarding list without retyping. Test it with a real departure: bookings from WhatsApp, the hotel and the OTA, a Pix deposit, a voucher with QR and the list ready the day before.
How much does tour agency software cost?
On the plan pages accessed in October 2026, Brazilian systems range from R$ 0 to R$ 379 a month. Some also charge a per-payment fee. Add up the monthly fee, the fee per Pix or per booking, onboarding and extra modules.
What functions does inbound tour software need?
Departures with capacity, bookings with a deposit, a voucher with QR and a boarding list with ID and meeting point. Also bookings from every channel, guide and vehicle scheduling, partner commission, finance and invoicing.
Can I integrate OTAs with the agency's system?
Yes, usually through a distribution system. Bókun, for example, offers a Booking API and webhooks and connects Viator and other OTAs. Without integration, the OTA booking is typed in by hand.
Can I keep my WordPress site and change only the management system?
Yes, if the new system receives bookings from the site and payments from the gateway you already use. Ask to see a booking from your site land in the departure's capacity without retyping.
How do I move from the spreadsheet to a system without losing bookings?
Set up tours and departures first, enter future bookings with the deposit paid and check seat by seat against the spreadsheet. Run both in parallel for a week and switch over on a slow departure.
