How to switch gym management software without losing members or billing
To switch gym software without losing members, solve three things: export the full member base, handle the saved cards, which usually do not migrate on their own, and run both systems in parallel. The old system is only shut down after the first billing cycle closes in the new one, with no discrepancies.
When is it worth switching systems, and when is it worth integrating on top?
Switch when the problem is in the core: billing that fails, data that will not come out, a missing integration. Integrate when the core works and the problem is in the workflows around it.
Signs that the core is the problem:
- recurring billing fails often, and fixing it depends on support;
- there is no integration with Wellhub, TotalPass or the turnstile the gym uses;
- the data does not come out of the system, neither by export nor by API;
- every new report is a spreadsheet made by hand.
Signs that you can integrate on top:
- billing and the turnstile work;
- what is missing is an owner for each task, aggregator reconciliation or a view of the whole cash flow;
- the system has an API.
The API decides much of this. EVO, from W12, publishes a REST API with 135 endpoints, documented in Swagger. Authentication uses the gym's address and a secret key. The endpoints cover members, memberships, classes, receivables, Pix, access control and webhooks, with read and write access.
Next Fit offers an API as a paid feature, purchased in the system's own store. The help center states that it "has only GET endpoints for querying data". In other words, it lets you read the schedule, finance, contracts, sales, CRM and clients, but not write.
With a read-and-write API, you can organize the workflows without migrating. With a read-only API, you can reconcile and monitor, but billing stays in the source system.
What should you export from the old system before signing the new one?
Everything that affects money, access or contracts. Ask for a test export before signing, not after notifying your current vendor.
| Data | Why it matters | How to check after the import |
|---|---|---|
| Active and inactive members, with contact details | Basis for billing, communication and reactivation | Same active count in both systems |
| Contracts and plans, with start, end and amount | Defines who pays how much and until when | Sum of monthly fees for the month equal in both |
| Balances, credits and make-up classes | Members claim what they already paid for | Sample of 20 members checked one by one |
| Open overdue payments | Revenue that cannot vanish in the switch | Sum of the open amount equal in both |
| Attendance history | Feeds the at-risk member alert | Last 90 days present for active members |
| Class bookings and waitlists | Prevents members without a spot in the first week | Next week's classes with the same headcount |
| Wellhub and TotalPass link | Check-ins and payout for the month of the switch | Month's check-ins checked in the portal |
| Signed contracts and issued invoices | Proof in case of a dispute | File stored outside both systems |
Also ask about turnstile enrollment. If access uses biometrics or facial recognition, confirm with the turnstile vendor that the enrollment remains valid with the new system.
What happens to members' saved cards?
Usually, they do not migrate on their own. This is where a system switch loses the most revenue.
In general, gym software does not store the card number. The payment provider stores it and returns a token. That token only works inside the provider's environment.
There are two paths:
- Migration between providers. The old provider sends the cards to the new one, vault to vault, encrypted. Gr4vy, a payment orchestration company, described the process in December 2025. Both sides must be PCI DSS compliant. The gym never sees the card number. And the source provider has to agree to send them.
- Re-entry by the member. Each member gets a link to enter the card again, or to authorize Pix Automático. This is the path when the old provider does not export.
With re-entry, the risk is that the member does not respond. That is why the link needs to go out early, and anyone who has not re-entered becomes a front desk task before the due date.
Pix Automático needs the same attention. The member authorizes the charge once in the bank app, with a maximum amount. If the gym changes the receiving institution, confirm with it whether the authorization remains valid. If it does not, ask for the new authorization together with the card re-entry.
How do you switch systems in stages?
In seven steps, with the old system on until the end. The biggest risk is a double charge or a charge that does not go out.
- Read the current contract. Check the notice period, the termination fee and how the vendor delivers the data at the end of the contract.
- Run a test export. Check that all the data in the table above comes out, and in what format.
- Import and check. Active count, sum of monthly fees, sum of overdue payments and a sample of members, one by one.
- Connect the turnstile and the aggregators. Wellhub maintains booking and access control APIs for management systems. TotalPass has a developer portal for gyms and systems, with check-in validation and class management.
- Start the card re-entry. With a dashboard of who has already re-entered and who is missing.
- Run one billing cycle in parallel. The new system charges those who have migrated; the old one charges the rest. Check both lists before each due date.
- Turn off the old billing last. Member by member, only after the new card or the new authorization is confirmed.
Which questions should you ask the new system?
The ones that show how it handles your member base, and not only how it works once everything is in.
- Who does the import, and who checks the discrepancies?
- Is card re-entry tracked? Is there a dashboard of who is missing?
- Does it integrate with Wellhub, TotalPass and your turnstile model?
- Does it have Pix Automático, in addition to recurring card billing?
- Does the data come out whenever I want, by export or by API?
- What is the termination fee and the notice period?
The question about leaving is the one most often forgotten. The system you choose today may be the one you will need to replace one day.
How CERNE solves the system switch
CERNE offers two paths for gyms, studios and clubs, depending on what the gym already uses.
For those who already use EVO or Next Fit, CERNE integrates and organizes the workflows on top: aggregator reconciliation, at-risk members with an owner, declined payments with a collection schedule.
For those who want to switch, CERNE becomes the gym's system, and the switch follows this workflow:
- the previous system's data comes in with members, contracts and balances;
- the check shows what did not match, before any charge;
- each member gets the link to re-enter the card or authorize Pix Automático;
- anyone who has not re-entered becomes a front desk task, with a deadline;
- billing in the old system stops only after that.
The gym package is being built in the operation of EClub, in Brasília, which switched systems. With our team, EClub grew revenue by 76% and engagement by 233%.
The details are on the gyms and wellness page, in the from studio to gym chain section.

Frequently asked questions
- How do I switch gym software without losing member data?
- Ask for a full export before signing the new contract: members, contracts, balances, overdue payments and attendance. Import it into the new system and check counts and totals before shutting down the old one. Keep both running in parallel until the first billing cycle closes.
- Do members' credit cards move to the new system?
- Usually not on their own. A saved card is stored as a token at the payment provider, and that token only works with that provider. Direct migration between providers requires the source provider to agree to send the data securely; without that, the member re-enters the card through a link.
- How do I avoid charging a member twice when switching systems?
- Turn off billing in the old system member by member, only after the new card or the new authorization is confirmed. Check the list of scheduled charges in both systems before each due date.
- How long does it take to switch gym software?
- It depends on the size of the member base and the quality of the export. The practical cutoff is a full billing cycle running in the new system with no discrepancies. Before that, the old one should not be shut down.
- Can I integrate the gym software instead of switching?
- Yes, when the system has an API. EVO publishes a REST API with 135 endpoints, for reading and writing. Next Fit offers a paid, read-only API. With an API, you can organize the workflows on top without migrating the data.
