Event waitlist: how to set up the workshop queue and not lose a spot

By Igor Costa · October 26, 2026 · 6 min read

An event waitlist runs on three rules. The line follows the order of arrival, and the spot that opens goes to the first person, with a short deadline to pay. A reservation holds the spot only until the Pix. Without a deadline, the spot in the sold-out workshop sits idle until someone reads WhatsApp.

Why does the spot in a sold-out workshop sit idle?

Because the spot that opens has no owner. Someone cancels by message, someone else reserved and did not pay, and the list of interested people is in a notebook or a group chat.

The idle spot shows up in three ways:

The math is simple. In an example workshop with 20 spots at R$ 250, two idle spots mean R$ 500 less. And the materials for those two spots were already bought.

How do I set up the waitlist step by step?

With six rules, written before sales open. The list works when every case has a ready answer.

Rule Example Why
When the list opens When the last batch sells out Before that, whoever wants a spot buys one
What the person provides Name, email and phone The notice needs to arrive fast
In what order the line moves Order of joining the list A rule everyone understands
How long to pay 24 hours from the notice Time to see the message without locking the spot
What happens if they do not pay The spot goes to the next in line The spot does not sit idle
When the list closes The day before the event Close to the date, nobody can plan in time

Tell the person, when they join, that the list does not guarantee a spot. Also tell them how long they will have to pay when called. A rule stated up front avoids arguments later.

Keep the order of joining with date and time. If two people complain, you can show who arrived first.

How long should I hold the spot until payment?

There are two different deadlines, and mixing them up is what locks the spot. One is for the purchase; the other is for the waitlist.

Moment Example deadline What happens when it expires
Person picks the spot and goes to pay 30 minutes for the Pix The spot goes back on sale or to the waitlist
Spot offered to the first in line 24 hours to pay The spot goes to the second in line
Less than 3 days before the event 4 to 6 hours to pay The spot moves through the line faster
Day before the event The waitlist closes The spot is free for direct sale

The purchase deadline is short because Pix is instant. Whoever picked the spot and did not pay in 30 minutes has, as a rule, given up or gotten distracted.

The waitlist deadline is longer because the person was not expecting the message. They may be at work or asleep. With 24 hours, they see the notice, and the spot can still go around the line before the event.

Close to the date, shorten it. A line of five people with a 24-hour deadline takes up to five days to go all the way through.

What do I do when someone cancels their ticket?

Answer with the rule you published, and release the spot the same day. A cancellation handled well becomes a spot sold to the waitlist.

In every case, the cancellation needs to change the system right away. If it stays only in the WhatsApp chat, the spot stays taken.

How do ticketing platforms handle the waitlist?

In different ways, and almost always with a manual step.

In both cases, someone on the team has to notice that the spot opened and act. In a 20-person workshop, that may be the organizer checking their phone on a Saturday.

How CERNE solves it

CERNE brings the sale, the reservation and the waitlist into the same workflow, and the spot that opens goes to the next person once you approve it.

CERNE's waitlist was born in The Middle's operation, with workshops that sell out and 24 hours of priority for those on the waitlist. With the operation structured, The Middle moved into B2B and expanded into other lines of business. See the waitlist workflow on the events and classes page and the cards for each function. If you sell through Sympla, also read how much the Sympla fee takes from each ticket.

Frequently asked questions

How do I create a waitlist for a sold-out event?
Open the list when the ticket batch sells out, with name, email and phone, in order of arrival. When a spot opens, offer it to the first person in line with a deadline to pay, for example 24 hours. If the deadline passes, the spot goes to the next person.
Does Sympla have a waitlist?
In the organizer help center, we did not find a waitlist for sold-out events. Sympla offers the Lista de Interesse (interest list), which collects contacts and lets you send invitations by email. Many organizers publish a separate page called a waitlist.
How long should I give the person on the waitlist to pay?
A short deadline that fits before the event. With 24 hours, the person in line has time to see the message, and the spot can still go to others if nobody pays. Close to the date, shorten the deadline.
Can an attendee cancel a ticket bought online?
Yes. Under art. 49 of Brazil's Consumer Protection Code, anyone who buys outside the business premises has 7 days to cancel and get back everything they paid. After that, the cancellation policy stated before the purchase applies.
How do I avoid workshop spots held without payment?
Hold the spot only for the payment window, for example 30 minutes for the Pix. If the payment does not arrive, the spot goes back on sale or to the waitlist. A reservation with no deadline is the spot that sits idle.
