Vacation rental cleaning: how to run a same-day turnover without losing reviews

By Igor Costa · October 26, 2026 · 7 min read

With checkout at 11:00 and check-in at 15:00, the team has 4 hours to clean, check and release the house. The turnover works with four pieces: order by check-in time, a checklist with photos, a separate inspection and spare linens. Cleanliness is one of the ratings guests give on Airbnb.

How much time does the team have on a same-day turnover?

The window is the gap between the checkout and check-in times the manager publishes in the listing. With 11:00 and 15:00, that is 4 hours. They have to fit travel, cleaning, inspection and release.

The breakdown below is an example for a 3-bedroom house. Your team's times come from measuring, not from the table.

Step (example, 3-bedroom house) Time
Travel to the house 30 min
Stripping bed linens and towels 15 min
Bathrooms 45 min
Kitchen 40 min
Bedrooms and beds made 40 min
Living room, porch and outdoor area 30 min
Inspection with photos 20 min
Buffer for the unexpected 20 min
Total 4 hours

The buffer is the item that disappears most often. Without it, a guest who leaves 30 minutes late pushes back the next house, and the 15:00 check-in arrives at a house that is not done.

For two weeks, measure the real time for each house. Write down when the team arrives, when it finishes and what caused delays. With that number, the schedule stops being an estimate.

How do I set the order of the day's cleanings?

Order the houses by the time of the next check-in, not by the order of checkouts. The house with a guest arriving at 15:00 goes before the house that only receives someone tomorrow.

The day before, build the day's list with this data for each house:

  1. Checkout and check-in times. A house with no check-in that day goes to the end of the line.
  2. Measured cleaning time. The large house with a pool does not fit in the same slot as the one-bedroom apartment.
  3. Neighborhood. Group nearby houses on the same team to cut travel time.
  4. Special request from the next guest. A crib, an extra bed or a pet change the time and the supplies.
  5. Person responsible for each house. Every house with a name. A house with no owner falls behind without anyone noticing.

Confirm the checkout time with the guest the day before and on the morning of. Accept a late checkout request only after checking the schedule. If the next check-in cannot accommodate it, offer the time the team can actually meet.

Keep spare linens for each house. With two sets of bedding and towels in each property, the team swaps them on the spot and takes the used set to the laundry. Without the second set, the turnover depends on the laundry returning on time.

What does the cleaning checklist need to include?

A good checklist follows the order in which the team moves through the house and asks for photos where guests complain most. It also records what is missing and what broke, for the inspection and maintenance.

Room Items the guest notices Required photo
Bathroom Shower, drain, mirror, toilet, folded towels, toilet paper and soap restocked Shower and toilet
Kitchen Dishes put away, fridge empty and clean, stove, sink, trash replaced Open fridge and stove
Bedrooms Beds made with clean linens, pillows, hair on the floor and on the sheets Each bed
Living room Sofa, remotes, light switches, door handles Whole room
Outdoor area Porch, grill, pool, outdoor furniture Pool and porch
Restocking Coffee, paper, soap, trash bags, remote batteries Supply cabinet
Issues What is missing, what broke, what needs repair Each issue

The photo has two jobs. It shows the supervisor that the house is ready without going there. And it becomes evidence when the next guest complains about something that was not that way at check-in.

Keep the checklist short enough to use on a phone, with gloves on. A 200-item list on paper stays in the drawer.

Why separate cleaning from inspection?

Because they look for different things. Cleaning looks for dirt; inspection looks for damage, missing items and defects. When the two become one, the broken glass and the weak shower slip through.

On Airbnb, this separation has a money deadline. Under article 279 of the help center, the manager has 14 days after the guest's checkout to request reimbursement in the Resolution Center. The guest has 24 hours to respond.

Airbnb asks for evidence: photos, videos, quotes or receipts for the repair or cleaning. An inspection with photos done the same day is that evidence. One that only shows up the following week arrives too late.

For direct bookings, the basis for the inspection is the contract. For a furnished vacation rental, Brazil's Tenancy Law (Lei do Inquilinato) requires the contract to describe the furniture and household items (art. 48, sole paragraph). With that list, the inspection compares what was there with what remained.

Each inspection issue follows one of three paths:

Damage that follows none of the three disappears, and the manager pays without knowing it.

How do I measure whether the turnover is working?

Track four numbers each week. They show where the turnover fails before the listing's rating drops.

Indicator How to measure Warning sign (example)
Houses released on time Houses released at least 30 minutes before check-in ÷ the day's turnovers Below 90%
Rework Houses sent back for cleaning after inspection More than 1 per week at the same house
Issues with no destination Recorded damage with no charge, expense or repair request Any older than 3 days
Cleanliness rating The month's cleanliness rating from reviews, per house A drop in two reviews in a row

The cleanliness rating stands on its own. In article 1257 of the help center, Airbnb lists the categories guests rate. They include cleanliness, accuracy, check-in and communication.

The overall rating weighs on the badge. Under article 829, Superhost requires an overall rating of 4.8 or higher, less than 1% cancellations and a 90% response rate. Airbnb runs the review every 3 months, based on the last 12 months.

How CERNE solves it

CERNE links cleaning to the booking: each checkout opens the house's task, and the house only moves to Ready when the inspection closes.

The vacation rental package is being built in the operation of casastemporada.com, a vacation home manager in Porto Seguro and Guarulhos. See the turnover workflow on the hospitality and vacation rentals page and the cards for each function. To compare tools, read what to check in vacation rental software.

Frequently asked questions

How long does vacation rental cleaning take between guests?
It depends on the size of the house and the travel time. With checkout at 11:00 and check-in at 15:00, the window is 4 hours, and it has to fit the cleaning, the inspection and the release. Measure the real time for each house for two weeks before building the schedule.
What should an Airbnb cleaning checklist include?
Items by room, in the order the team moves through the house. Ask for photos where guests complain most: bathroom, kitchen, bed linens and outdoor area. Include restocking of supplies and a record of what is missing or broken.
How do I charge a guest for damage on Airbnb?
Open the request in the Resolution Center within 14 days of the responsible guest's checkout. The guest has 24 hours to respond. Gather photos, videos, quotes or receipts, according to article 279 of Airbnb's help center.
What is the minimum rating to be a Superhost on Airbnb?
An overall rating of 4.8 or higher, less than 1% cancellations, a 90% response rate and at least 10 bookings, or 3 bookings totaling 100 nights. Airbnb reviews it every 3 months, based on the last 12 months.
Can the same person clean and do the inspection?
Yes, if the inspection is a separate step, with its own photos and items. Ideally, another person or a supervisor checks a sample. The inspection looks for damage and missing items; the cleaning looks for dirt.
Can I accept a late checkout on a turnover day?
Only if the day's schedule allows it. Before answering the guest, check the next check-in time and that house's cleaning time. If it does not fit, offer the time the team can actually meet.
