Finance BPO software: what to check before signing and how to connect it to the accounting system
The right finance BPO software shows the entire portfolio and keeps each client's data separate. It reconciles the statement, issues the NFS-e, requests the missing document and exports the month to the accounting system. Before signing, test it with the real statements of three clients and confirm the data leaves with you.
What does finance BPO software need to do?
It needs to cover the client's routine and the firm's routine at the same time. The client's is paying, receiving, reconciling and issuing invoices. The firm's is seeing the portfolio, requesting documents and closing each period.
The service is growing inside firms. In the Sescon-SP study with Omie, published by Fenacon on October 15, 2026, 45% of 314 firms already offer finance BPO. Those starting out usually use each client's ERP and one WhatsApp group per client. With 20 clients, that becomes 20 screens and 20 chats.
Use this list in the demo. Ask to see each item working with your own data:
| Function | Why it matters | How to test it in the demo |
|---|---|---|
| Client portfolio | The owner needs to see all clients on one screen | Ask for the list with overdue bills and late reconciliation for each one |
| Payables and receivables | It is the service the client buys | Enter a bill with an attachment and approve the payment as the client |
| Bank reconciliation | Closes the month with no difference | Import a real OFX statement and see what is left unmatched |
| NFS-e issuance | The service invoice changed standard in 2026 | Issue a test invoice in your client's municipality |
| Document requests | A missing receipt holds up reconciliation | Watch the request go out and the reply come back to the right client |
| Export to accounting | Entries need to reach the accounting system | Ask for one month's file and import it into your system |
| Permissions per client | Each analyst sees their own portfolio | Log in as an analyst and try to open another analyst's client |
| Access log | The statement is sensitive data | Ask where the history of who opened what is kept |
The NFS-e deserves attention. According to Fenacon, LC 214/2025 has required municipalities to adopt the national-standard NFS-e since January 2026. Confirm that the system issues in the national standard and in each client's municipality.
One ERP per client or one firm-wide system?
It depends on who operates it and who pays. With one ERP per client, each CNPJ has its own license. With a firm-wide system, the entire portfolio sits in one place.
Both models have public facts to compare:
- Conta Azul. The page for accountants, accessed October 26, 2026, cites more than 14,000 partner accountants and BPOs. The Pro BPO license starts at R$ 129.90 per month at the Bronze level, with a minimum of 3 licenses. In Pro BPO, only the firm operates it, and the owner approves payments in the app.
- Omie. The pricing page shows the ERP starting at R$ 309 per month. The price follows the client's gross revenue, with unlimited users. Partner accountants get special terms, with no published price.
- Nibo. The public documentation separates two APIs. The company API covers accounts, statements, reconciliation, payables and receivables and NFS-e. The obligations API covers the firm's clients, tasks and documents.
The math changes with the portfolio. This table uses public entry prices and an example portfolio of 20 clients:
| Model (example, 20 clients) | Calculation | Per month |
|---|---|---|
| Conta Azul Pro BPO, 1 license per client | 20 × R$ 129.90 | R$ 2,598 |
| Omie, 1 ERP per client at the entry price | 20 × R$ 309 | R$ 6,180 |
The table doesn't include partner discounts, which both vendors offer. At many firms, the license is passed on to the BPO client. Do the math with your own quote.
How does BPO software talk to the accounting system?
Through the monthly export or through an API. The accounting system keeps the bookkeeping and the tax calculation. The BPO software delivers the entries ready for it.
Ask the vendor three things:
- In what format do the entries come out? Import file, direct integration or API. Conta Azul states it exports to more than 25 accounting systems and sends automatically to Domínio.
- Who checks the import? An entry that reaches accounting wrong comes back as rework at the end of the month.
- Does the system have an open API? Omie documents SOAP and JSON APIs, with webhooks. Nibo documents both APIs with an access key. With an API, another system reads pending items and statuses without depending on a spreadsheet.
The API matters even for those who don't code. It is what lets you bring together, on the client's card, the missing document, the bill without a receipt and the unpaid tax slip.
Where do document requests and WhatsApp fit?
In most stacks, they sit outside the finance system. The analyst asks for the receipt on WhatsApp, the client replies in the chat, and someone attaches the file to the payable by hand.
If the request sits outside, reconciliation waits. An unmatched entry only closes when the receipt arrives and someone links the two.
In the demo, ask to see the complete path:
- the system flags the bill without a receipt;
- the request goes out to the client, on the channel they use;
- the reply comes back and links to the right bill;
- the pending item closes, and the month goes to accounting.
To build the firm's reminder schedule, see how to collect documents from clients without repeating the request.
How do you switch finance BPO software without losing data?
Export everything for each client before notifying the current vendor. Run both systems in parallel for an entire period and switch at the start of the following month. The step-by-step:
- Export the records of clients, suppliers, categories and cost centers for each CNPJ.
- Export open payables and receivables, with due date and attachment.
- Export the reconciliations from the last 12 months and the imported statements.
- Download the attachments. Receipts and invoices are the proof of each entry.
- Keep the XML files of issued invoices and confirm the retention period with the responsible accountant.
- Review access. Whoever leaves the firm loses access the same day. The LGPD (Lei 13.709/2018) requires security measures for the personal data the firm handles.
- Run one period in parallel. Reconcile the same month in both systems and compare the balance.
Start with the clients with the fewest accounts. The client with three banks and many entries comes in last, once the team is trained.
How CERNE solves it
CERNE serves as the system for the firm and the finance BPO, alongside the accounting system. Bookkeeping and payroll stay in the accounting system.
- Client portfolio. Each client with tax regime, owner, fees and the month's pending items, on a single screen.
- Bank reconciliation. Each client's OFX statement is reconciled against payables and receivables. Whatever is left unmatched becomes a pending item on the client's card.
- Client finance. The accounts stay in CERNE or in Conta Azul, Omie and Nibo, which integrate through the API. The month is exported to accounting.
- Invoice issuance. The client's NFS-e is issued in the national standard, through Focus NFe.
- Documents via WhatsApp. The missing receipt is requested via WhatsApp. The AI recognizes the attachment and proposes clearing the item, and a person confirms.
- Confidentiality per client. Each analyst sees their own portfolio, and every access is logged.
The BPO and accounting package starts with an assessment of your firm. It uses modules already running at CERNE clients: the board with owner and deadline, and approval before anything is sent. See the workflows on the BPO and accounting page and the integrations in the modules section.

Frequently asked questions
- What is the best finance BPO software?
- The one that covers your portfolio: a view of all clients, payables and receivables per client, bank reconciliation, invoicing, document requests and export to the accounting system. Test it with the real statements of three clients before signing.
- How much does finance BPO software cost?
- The market charges per client served. On Conta Azul's page for accountants, accessed in October 2026, the Pro BPO license starts at R$ 129.90 per month, with a minimum of 3 licenses. Omie starts at R$ 309 per month, based on the client's revenue.
- Does a finance BPO need one system per client?
- Not necessarily. Some firms operate each client's ERP, with one license per CNPJ. Others use a firm-wide system with the entire portfolio. What matters is seeing all clients on one screen and keeping each one's data separate.
- Does finance BPO software integrate with Domínio?
- It depends on the vendor. Conta Azul states it exports to more than 25 accounting systems and sends automatically to Domínio. Ask in what format the entries arrive and who checks the import.
- How do you switch finance BPO software without losing data?
- Export each client's records, chart of accounts, open payables and receivables, reconciliations and attachments before canceling. Run both systems in parallel for one period and switch at the start of the following month.
- What is bank reconciliation in finance BPO?
- It is matching each entry on the client's statement with a payable or receivable. Whatever has no match becomes a pending item: a missing receipt, a payment without an invoice or an unrecorded bank fee.
